- Scan: Perform an exterior scan (front of envelope or package) at minimum 300 DPI resolution. Interior scans are performed only upon renter request through an action request. Ensure scans are clear, complete, and properly oriented.
- Notify: The platform automatically sends a notification to the renter once the mail item is logged. Verify that notifications are being sent successfully.
- Store: Place the mail item in the renter's designated storage location. Ensure the storage area is secure, locked, and accessible only to authorized staff.
Action Request Processing
When a renter submits an action request (scan, forward, shred, pickup), follow this workflow:
- Review the action request details in your dashboard
- Locate the mail item in storage
- Perform the requested action following the appropriate procedure
- Update the action request status in the platform
- Upload any resulting files (scan images, tracking numbers) to the platform

- Mail Processing: All incoming mail must be logged and scanned (exterior) on the same business day it is received
- Action Requests: Complete all action requests within 24 hours of submission during business days
