Each invoice provides a complete breakdown of charges for the billing period. Here is what you will find:
- Subscription fee: Your monthly plan charge (Basic, Business, or Premium).

- Mail scan fees (exterior and interior scans)
- Mail forwarding fees (postage, handling, and carrier charges)

- Total amount: The total charged to your payment method.
Tax Information
Tax treatment varies depending on whether your mailbox is located in Canada or the United States:
Canadian Renters
- GST (Goods and Services Tax): 5% applied to all taxable services.
- HST (Harmonized Sales Tax): Applicable in provinces that have harmonized their provincial sales tax with GST (such as Ontario at 13%, Nova Scotia at 15%, etc.).
- PST/QST: Provincial sales tax may apply in provinces that have not harmonized with GST (such as British Columbia, Manitoba, Quebec, and Saskatchewan).
- Your invoice will show the specific tax rate and amount based on the province of your mailbox operator location.
- C-Band Digital Innovations Inc.'s GST/HST registration number is displayed on your invoice for your records.
United States Renters
- State sales tax: Applicable in states that impose sales tax on services. The rate varies by state and sometimes by county or city.
- No federal sales tax: There is no federal sales tax in the United States.
- Your invoice will show the applicable state and local tax rates based on the location of your mailbox operator.
- Some states may exempt virtual mailbox services from sales tax. The applicable taxes are determined automatically based on current tax regulations.
Using Invoices for Business Tax Deductions
If you use your C-Band Mailbox for business purposes, your mailbox subscription and related fees may be tax-deductible as a business expense. Here are some tips:
- Keep all invoices: Download and store every invoice for your records. We recommend keeping invoices for at least 7 years for tax purposes (CRA requirement in Canada; IRS recommends at least 3 years but up to 7 for certain situations in the US).
- Categorize expenses: Your invoices clearly break down subscription fees, action fees, and taxes, making it easy to categorize expenses in your bookkeeping software.
- Consult a tax professional: Tax deductibility rules vary by jurisdiction and business type. A qualified accountant or tax advisor can help you determine which expenses are deductible in your specific situation.
- Use the business name: If you use your mailbox for business, ensure your account profile reflects your business name for accurate invoice generation.
Invoice History and Search
Your complete invoice history is available in the Billing section of your dashboard. Use the following features to find specific invoices:
- Date range filter: Select a start and end date to view invoices from a specific period.
- Search: Search by invoice number, amount, or date.
- Sort: Sort invoices by date, amount, or status (paid, pending, failed).
- Status filter: Filter by payment status to quickly find unpaid or failed invoices.
Automatic Email Delivery
C-Band Mailbox automatically sends your invoice to your registered email address after each billing cycle. These transactional emails include:
- A summary of charges for the billing period.
- The total amount charged.
- A link to view the full invoice in your dashboard.
- A PDF attachment of the invoice (if enabled in your notification settings).
These billing notification emails are classified as transactional messages and are always sent regardless of your marketing email preferences, in compliance with CASL (Canada) and CAN-SPAM (US) regulations.
