Complete guide to financial and operational reporting on the C-Band Mailbox platform, including revenue reports, renter activity metrics, tax reports for GST/HST and 1099-NEC, export options, and audit trails.
Generating Reports
The C-Band Mailbox platform provides a comprehensive reporting dashboard that gives you full visibility into your operation's financial performance, renter activity, and compliance status. This guide covers all available report types, how to generate and customize them, export options, and how to use reporting data for tax preparation and business analysis. Effective reporting is essential for understanding your revenue, managing your tax obligations, and making informed business decisions.
Financial Reporting Dashboard
Your financial reporting dashboard is the central hub for all monetary data related to your operation. Access it from the Billing section of your operator dashboard.
Revenue Reports
Revenue reports provide a detailed breakdown of your earnings:
- Gross Revenue: Total revenue collected from all renters before any deductions. This includes subscription fees, action request fees, storage fees, and any additional charges.
- Platform Fees: The amount retained by C-Band Mailbox for platform services, calculated as a percentage of Gross Revenue.
- Processing Fees: Stripe payment processing fees deducted from each transaction.
- Net Earnings: Your take-home revenue - Gross Revenue minus Platform Fees minus Processing Fees. This is the amount deposited to your bank account.
Monthly Statement Breakdown
Per the Operator Terms & Conditions Section 5.5, a Monthly Statement is generated for each billing period. The statement includes:
- Total renter payments received during the period
- Itemized deductions (platform fees, processing fees)
- Net Earnings for the period
- Year-to-date cumulative totals
- Any Net Earnings Deficit carried forward from previous periods
Renter Activity Reports
Monitor your operation's activity with detailed renter metrics:
- Active Renters: Total number of renters with active accounts at your location
- New Signups: Number of new renters onboarded during the reporting period
- Churned Renters: Number of renters who closed their accounts during the period
- Mail Volume: Total number of mail items received, broken down by type (letters, flats, packages)
- Action Requests: Total action requests submitted and completed, categorized by type (scan, forward, shred, pickup). Includes average processing time and completion rate.
- Storage Utilization: Number of items currently in storage, average storage duration, and storage fee revenue
Tax Reports
Tax reporting requirements differ between US and Canadian operations. The platform generates the reports you need for tax compliance:
Canadian Operations - GST/HST Reports
- GST/HST Collected: Total GST/HST collected from Canadian renters during the reporting period, broken down by province and tax rate
- Input Tax Credits (ITCs): Track GST/HST paid on business expenses that may qualify for Input Tax Credits (consult your tax advisor for eligibility)
- Tax Period Reports: Generate reports aligned with your GST/HST filing frequency (monthly, quarterly, or annually)
- Provincial Breakdown: Detailed breakdown of tax collected by province, useful for operators serving renters in multiple provinces
US Operations - 1099-NEC Preparation
- Annual Earnings Summary: Total Net Earnings for the tax year. C-Band Mailbox issues a 1099-NEC form to US operators whose earnings exceed the $600 IRS reporting threshold.
- Quarterly Estimates: Revenue data organized by quarter to assist with quarterly estimated tax payments (Form 1040-ES)
- State Tax Reports: Revenue broken down by state for state income tax filing purposes
- Sales Tax Collected: Total state and local sales tax collected from US renters, organized by jurisdiction
Export Options
All reports can be exported in multiple formats for further analysis or record keeping:
- CSV (Comma-Separated Values): Ideal for importing into spreadsheet applications (Excel, Google Sheets) or accounting software (e.g., FreshBooks, Wave)
- PDF: Formatted reports suitable for printing, archiving, or sharing with your accountant or tax advisor
Date Range Filters
Customize your reports with flexible date range options:
- Preset ranges: Current month, previous month, current quarter, previous quarter, current year, previous year
- Custom date range: Select any start and end date for your report
- Comparison mode: Compare two periods side-by-side to track growth and trends
Audit Trail
The platform maintains a comprehensive audit trail for all financial transactions:
- Every payment, refund, credit, and adjustment is logged with a timestamp, amount, and associated renter
- All invoice generation and delivery events are recorded
- Payout records with dates and amounts
- User actions (who performed each action and when)
The audit trail is invaluable for dispute resolution, compliance audits, and financial reconciliation.
Year-End Reporting
At year-end, use the platform's reporting tools to prepare for tax season:
- Generate the full-year revenue report
- Export tax reports for your accountant
- Review and reconcile monthly statements
- Verify 1099-NEC information (US operators) or GST/HST totals (Canadian operators)
- Archive reports for your records (minimum retention: 7 years for CRA, 3-6 years for IRS)
Using Reports for Business Decisions
Reports are not just for compliance - they are powerful tools for optimizing your mailbox operation. Analyze your revenue reports monthly to identify trends: which service plans generate the most revenue, which renters are most active, and where your growth opportunities lie. Use renter activity reports to adjust staffing levels during high-volume periods and identify opportunities to upsell renters to higher-tier plans based on their usage patterns.
Compare your quarterly reports year-over-year to track the overall health of your business. If you see declining revenue per renter, investigate whether your pricing is competitive or whether service quality issues are driving downgrades. If you see increasing mail volume without corresponding revenue growth, consider adjusting your plan pricing or action request fees.
