Following these standards consistently ensures renter satisfaction and operational efficiency.
Scanning Equipment Requirements
Invest in quality scanning equipment to deliver consistently excellent scans:
Minimum Specifications
- Resolution: 300 DPI (dots per inch) minimum. This is the standard for readable, professional-quality document scans.
- Color Capability: Full-color scanning is required. Color captures important details like logos, handwriting ink color, and document markings that grayscale would miss.
- Flatbed Scanner: Essential for scanning single items, IDs, forms, and items that cannot be fed through a document feeder.
- ADF (Automatic Document Feeder): Strongly recommended for processing multi-page documents and batch scanning. Saves significant time when processing high volumes.

- Business-grade document scanners from Fujitsu (ScanSnap or fi series), Canon (imageFORMULA series), or Epson (WorkForce series)

Scanning Standard Operating Procedure
Exterior Scan (Standard for All Mail)
Every piece of mail received at your location should receive an exterior scan as part of the standard receiving process:
- Place the front of the envelope or package label face-down on the flatbed scanner (or face-up in the ADF tray)
- Scan at 300 DPI, full color
- Verify the scan captures the entire front face of the item - all addresses, stamps, postmarks, and markings must be visible
- Save the scan and upload to the platform under the correct renter and mail item
Interior Scan (Upon Renter Request)
Interior scanning is performed only when a renter submits an action request to have their mail opened and scanned:
- Carefully open the envelope along the top edge (use a letter opener for clean cuts)
- Remove all contents from the envelope
- Scan each page individually at 300 DPI, full color
- For multi-page documents, scan in order (page 1 first) and save as a multi-page PDF or individual images
- If the document is double-sided, scan both sides
- After scanning, return all contents to the envelope and store the physical item per your storage procedures
Scan Quality Standards
Every scan uploaded to the platform must meet these quality standards:
- Full Document Visibility: The entire document must be visible in the scan - no cut-off edges, missing corners, or cropped text
- No Shadows: Position the document flat against the scanner glass. Wrinkled documents or items scanned at an angle produce shadows that reduce readability.

File Format and Naming
- Format: Save scans as high-quality JPEG (for single images) or PDF (for multi-page documents). The platform accepts both formats.
- Quality Setting: Use high or maximum quality when saving JPEGs. For PDFs, use standard compression that maintains readability.
- Naming Convention: The platform automatically assigns identifiers when you upload scans to a mail item. If saving locally before upload, use a consistent naming convention: [RenterMailboxNumber]_[Date]_[ItemType]_[Sequence]
Upload to Platform
- Navigate to the mail item in your operator dashboard
- Click "Upload Scan" on the mail item detail page
- Select the scan file from your computer
- The platform processes the upload, encrypts the file (AES-256 at rest), and associates it with the mail item
- The renter is automatically notified that a scan is available for viewing
Turnaround Time
- Exterior Scans: Same business day as mail receipt - scan as part of the standard receiving process
- Interior Scans (Action Request): Within 4 hours of the request during business hours. If the request is received outside business hours, process it within the first 4 hours of the next business day.
Batch Scanning Procedures
When processing multiple scan requests or scanning a large volume of incoming mail:
- Sort items by renter for efficient processing
- Use the ADF for multi-page documents to save time
- Verify each scan meets quality standards before moving to the next item
- Upload in batches - the platform supports bulk upload for efficiency

- Open the scan file and verify it is clear and readable
- Check that the full document is visible - no cut-off edges

- For multi-page documents, verify all pages are present and in order
Common Issues and Solutions
