Receiving Mail Procedures
Receiving mail is the most fundamental daily operation in your mailbox business. Consistent, accurate mail receiving procedures ensure every item is properly logged, sorted, and secured, and that your renters are promptly notified. This guide covers the complete daily mail receiving standard operating procedure (SOP), including carrier-specific handling, logging requirements, scanning procedures, and special mail handling for both US and Canadian operations.
Daily Mail Receiving SOP
Pre-Delivery Preparation
- Ensure the receiving area is clear and ready before carrier delivery times
- Have your scanner powered on and connected
- Log in to the C-Band platform and navigate to the mail receiving section
- Review any pending action requests that may relate to incoming items
Carrier Delivery Schedules
USPS (United States Postal Service)
- Schedule: Daily delivery, Monday through Saturday (residential routes). Sunday delivery for Priority Mail Express and Amazon packages in some areas.
- Federal Holidays: No delivery on federal holidays (New Year's Day, Martin Luther King Jr. Day, Presidents' Day, Memorial Day, Independence Day, Labor Day, Columbus Day, Veterans Day, Thanksgiving, Christmas)
- CMRA Delivery: USPS delivers to your CMRA location based on your address and route assignment. If you have a large volume of mail, request a delivery to your service counter rather than a standard mailbox.
Canada Post
- Schedule: Monday through Friday delivery is standard. Some urban areas may have Saturday delivery.
- Statutory Holidays: No delivery on federal statutory holidays and applicable provincial holidays (vary by province)
- Commercial Agreement: Under your Canada Post commercial agreement, delivery is made to your business address per their standard delivery route
UPS and FedEx
- Schedule: Delivery per the carrier's standard schedule for your area. UPS and FedEx typically deliver Monday through Friday, with Saturday delivery available for certain service levels.
- Timing: Delivery times vary - morning, afternoon, or evening depending on the route and service level
Sorting Procedures
After receiving the day's delivery, sort mail efficiently:
- Initial Sort: Separate mail by type - letters, flats (large envelopes), and packages
- Renter Sort: Organize items by renter mailbox number. Check the address on each item carefully to match it to the correct renter.
- Unidentifiable Items: Set aside any items that cannot be matched to a renter (wrong address, missing mailbox number, unknown name). Research these before returning to carrier or marking as undeliverable.
Logging Each Item in the Platform
Every mail item must be logged in the C-Band platform immediately upon receipt:
- Renter: Select the correct renter based on the address and mailbox number
- Sender: Enter the sender's name and address from the envelope or package label
- Mail Type: Select the appropriate type - letter, flat, small package, large package, certified, registered, etc.
- Carrier: Select the carrier that delivered the item (USPS, Canada Post, UPS, FedEx, other)
- Tracking Number: Enter the tracking number if visible on the item (for packages, registered, or certified mail)
- Condition Notes: Record any damage or irregularities observed
Exterior Scanning
Scan the front of every mail item as part of the receiving process:
- Place the item face-down on the flatbed scanner (or face-up in the ADF)
- Scan at 300 DPI minimum, full color
- Verify the scan captures the entire front face, including addresses, stamps, and postmarks
- Upload the scan to the mail item record in the platform
Renter Notification
Once logged and scanned, the platform automatically notifies the renter:
- Email notification with mail item summary
- SMS notification (if enabled by the renter)
- In-platform notification visible in the renter's dashboard
- The notification includes the scan image (if exterior scan is complete), sender information, and action options
Special Handling
Registered and Certified Mail
- USPS Certified Mail: Sign for the item. Record the article number and delivery date. Log as certified in the platform. Notify the renter immediately.
- USPS Registered Mail: Sign for the item on the delivery receipt. Registered mail carries insurance - handle and store with extra care. Log and notify immediately.
- Canada Post Registered Mail: Sign for the item. Record the tracking number and delivery date. Log and notify immediately.
Packages
- Log package dimensions and approximate weight
- Photograph the package label and overall package condition
- Store in the secure package storage area

Accountable Mail
Maintain a separate accountable mail log for all items that required your signature upon delivery. This log should include: date received, carrier, tracking/article number, renter mailbox number, and renter pickup/forwarding date.
Canada Post Specifics
- Registered Mail Procedures: Canada Post registered items require signature upon delivery. The carrier may leave a delivery notice card if no one is available - ensure someone is always available during delivery hours to accept registered items.
- Flex Delivery Compatibility: If your location is a registered Flex Delivery point, renters may have packages sent to your address using Canada Post Flex Delivery. Handle these the same as regular packages.
USPS Specifics
- CMRA Delivery Procedures: As a CMRA, you receive mail for multiple renters at a single address. USPS carriers are familiar with this arrangement, but ensure your CMRA registration is current to avoid delivery disruptions.
- Accountable Mail: USPS accountable mail (certified, registered, insured, COD) requires your signature. Maintain your accountable mail log as described above.
