Managing Operator Profile

Complete guide to managing your operator business profile on the C-Band Mailbox platform, including business information, location management, team members, permissions, and profile completeness optimization.

Managing Operator Profile

Your operator profile is the public face of your mailbox operation on the C-Band Mailbox platform. It provides renters with essential information about your location, services, and operating hours. It also serves as your administrative hub for managing team members and permissions. Keeping your profile accurate, complete, and up-to-date ensures renters can find your location, understand your services, and trust your operation. This guide covers every aspect of operator profile management.

Business Information Management

Your business information forms the foundation of your operator profile. Keep it accurate and current:

Updating Business Details

  • Legal Business Name: The registered name of your business entity. Update this only if your business name legally changes (through amendment or re-registration).
  • DBA (Doing Business As): Your trade name or brand name. This is the name renters see on the platform. Update it if you rebrand or change your public-facing business name.
  • Business Address: Your physical operating address. This must be a street address, not a PO Box. Update immediately if you relocate.
  • Phone Number: Your business phone number for renter inquiries. Use a dedicated business line rather than a personal number.
  • Email Address: Your primary business email for platform communications, notifications, and support correspondence.

Location Management

Operating Hours

Set and maintain your operating hours for each day of the week:

  • Business Days: Set your opening and closing times for Monday through Friday (or Saturday, if applicable)
  • Weekends: If you operate on weekends, set those hours. Otherwise, mark as closed.
  • Holidays: Update your schedule for statutory holidays and any additional closures. In the US, federal holidays include New Year's Day, Memorial Day, Independence Day, Labor Day, Thanksgiving, and Christmas. In Canada, statutory holidays vary by province (e.g., Family Day, Victoria Day, Canada Day, Thanksgiving, Remembrance Day).
  • Temporary Closures: If you need to close temporarily (renovation, emergency), update your hours and notify active renters through the platform.

Service Capabilities

Indicate which services you offer at your location:

  • Scanning: Mail scanning services (exterior and interior scans)
  • Forwarding: Domestic, cross-border, and international forwarding
  • Package Handling: Package receiving and storage
  • Notary Services: On-site notary for Form 1583 processing (US operators)
  • Pickup: In-person mail pickup during business hours
  • Shredding: Secure document destruction

Photos and Description

  • Upload high-quality photos of your storefront, interior, and service areas
  • Write a clear, professional description of your location and services
  • Highlight any unique features (free parking, wheelchair accessibility, bilingual service)

Team Member Management

If you have staff assisting with your mailbox operation, manage their accounts through your operator profile:

Adding Team Members

  1. Navigate to the Team section of your operator settings
  2. Click "Add Team Member"
  3. Enter the team member's name, email, and phone number
  4. Assign their role and permissions
  5. The team member receives an invitation email to create their account

Removing Team Members

  • Deactivate a team member's account when they leave your operation
  • Their access is revoked immediately upon deactivation
  • Historical actions performed by the team member remain in the audit trail

Role Assignment

Assign roles based on the team member's responsibilities:

  • Admin: Full access to all operator features, including billing, settings, team management, and reporting. Reserved for business owners and senior managers.
  • Staff: Access to mail management, scanning, forwarding, and customer communication. No access to billing, settings, or team management.

Permission Levels

  • Admins can view and modify all settings, manage billing, add/remove team members, and access all reports
  • Staff can process mail, complete action requests, communicate with renters, and view renter profiles
  • All actions are logged in the audit trail with the team member's identity and timestamp

Impact on Renter-Facing Pages

Your profile information directly affects what renters see:

  • Your DBA, address, phone, and operating hours appear on your location listing page
  • Your service capabilities determine which services renters can request
  • Your photos and description appear on the public location page
  • Keeping your profile complete and accurate builds renter confidence and trust

Profile Completeness Score

The platform displays a profile completeness score to help you identify missing or incomplete information:

  • 100% completeness means all required and recommended fields are filled
  • Incomplete profiles may rank lower in location searches and reduce renter trust
  • Review the completeness checklist regularly and fill in any gaps

Business License and Registration Updates

  • Upload your current business license or registration certificate to the platform
  • Update the document when it is renewed
  • The platform will notify you when your uploaded license is approaching expiry (if an expiry date is associated)

Profile Optimization Tips

An optimized operator profile attracts more renters and builds trust. Upload at least three high-quality photos of your location, including the storefront exterior, the reception or service counter area, and the secure mail storage area. Write a detailed business description that highlights your unique advantages - years of experience, specialized services, convenient location, parking availability, or bilingual staff.

Keep your operating hours current, especially around holidays. Renters rely on your posted hours when planning visits, and encountering a closed location during posted business hours damages trust and leads to negative reviews. Review your profile quarterly to ensure all information remains current and complete, and respond promptly to any renter reviews or feedback that appears on your listing.
