Managing Your Privacy Settings

At C-Band Mailbox, we take your privacy seriously. As a service that handles your personal mail and documents, we understand the importance of giving you full control over your personal data. This guide covers your privacy rights, how to manage your privacy settings, and the regulatory frameworks that protect your information in both Canada and the United States.

Privacy Dashboard Overview

Your privacy settings are accessible from your dashboard. To access them:

1. Log in to your C-Band Mailbox dashboard.
2. Navigate to Settings > Privacy.
3. The privacy dashboard displays your current settings and provides tools for managing your personal data.

From the privacy dashboard, you can:

• View what personal data we have on file for your account.
• Download a copy of your personal data.
• Request corrections to inaccurate data.
• Manage your consent preferences.
• Submit a data deletion request.

Access and Download Your Data

You have the right to know what personal data C-Band Mailbox collects and stores about you. To request a copy of your data:

1. Go to Settings > Privacy > Data Access.
2. Click "Request Data Export".
3. Your data will be compiled and a download link will be sent to your registered email address within 5 business days.

The data export includes your profile information, mail activity history, billing records, and any preferences or settings associated with your account. Scan images and attachments may be provided separately due to file size.

Privacy Rights for Canadian Renters

If your mailbox is located in Canada, your personal information is protected under the Personal Information Protection and Electronic Documents Act (PIPEDA) and, for renters in Quebec, Quebec's Law 25 (An Act to modernize legislative provisions as regards the protection of personal information). The following rights are available to you, as detailed in our Terms & Conditions Schedule A, Section A4:

Right to Access

You have the right to access the personal information that C-Band Mailbox holds about you. This includes your account information, mail processing records, billing history, and any communications with our support team. You can request access through the privacy dashboard or by contacting our privacy officer.

Right to Correct

If any of your personal information is inaccurate or incomplete, you have the right to request a correction. Submit correction requests through the privacy dashboard or by contacting us at info@cbanddigital.com.

Right to Withdraw Consent

You may withdraw your consent for certain types of data processing at any time. Please note that some processing activities (such as identity verification and billing) are essential for providing the service. If consent for these is withdrawn, we may not be able to maintain your account.

Right to Request Deletion

You may request the deletion of your personal information. Upon receiving a deletion request, we will delete your data except where retention is required by law (such as tax records, which must be retained for the period required by the CRA). See the Account Deletion section below for the full process.

Privacy Commissioner Complaint

If you are not satisfied with how C-Band Mailbox handles your personal information, you have the right to file a complaint with the Office of the Privacy Commissioner of Canada (priv.gc.ca) or, for Quebec residents, the Commission d'acces a l'information du Quebec.

Privacy Rights for United States Renters

If your mailbox is located in the United States, your privacy rights vary by state. C-Band Mailbox complies with the most comprehensive state privacy laws, including the California Consumer Privacy Act (CCPA) as amended by the California Privacy Rights Act (CPRA), as well as similar laws in other states. The following rights are available as outlined in our Terms & Conditions Schedule B, Section B6:

Right to Know

You have the right to know what categories of personal information we collect, the sources of that information, the business purposes for collection, and the categories of third parties with whom we share your information.

Right to Delete

You may request the deletion of your personal information. We will comply with your request except where retention is required by law or necessary to complete a transaction you initiated.

Right to Correct

You have the right to request that we correct inaccurate personal information we maintain about you.

Right to Opt-Out of Sale or Sharing

C-Band Mailbox does not sell your personal information. However, as required by the CCPA/CPRA, we provide a "Do Not Sell or Share My Personal Information" link in our privacy dashboard and on our website. You can exercise this right at any time.

Right to Data Portability

You may request a copy of your personal information in a portable, machine-readable format that can be transferred to another service provider.

Non-Discrimination

We will not discriminate against you for exercising any of your privacy rights. You will continue to receive the same level of service and pricing regardless of whether you exercise your data rights.

Cross-Border Data Transfer

Because C-Band Mailbox operates in both Canada and the United States, your personal data may be processed and stored in either country. Here is what this means for your privacy:

• Data processing locations: Depending on your operator location and the services you use, your data may be processed by servers and systems located in Canada and/or the United States.
• Legal frameworks: When your data is transferred between Canada and the United States, note that the privacy laws of each country may differ; see our Privacy Policy for details on our cross-border practices. C-Band Mailbox implements appropriate safeguards, including encryption, access controls, and data processing agreements, to ensure your data is protected regardless of where it is stored.
• Cross-Border Safeguards: C-Band Mailbox implements appropriate contractual and technical safeguards for data transfers between Canada and the United States, including encryption, access controls, and data processing agreements consistent with PIPEDA requirements.

• Response time: We aim to respond to all privacy inquiries within 10 business days. For data access and deletion requests, for Canadian renters we will complete the request within 30 days, with an extension of up to 30 additional days for complex requests; for US renters, within 45 days, with an extension of up to 45 additional days (in each case with prior notice to you).

Account Deletion

If you wish to close your account and delete your personal data:

1. Navigate to Settings > Privacy > Account Deletion.
2. Click "Request Account Deletion".
3. Confirm your request. You will receive a confirmation email.
4. Your account will be deactivated immediately, and data deletion will be completed within 30 days.

Before requesting deletion, please note:

• All remaining mail at your operator location must be forwarded, picked up, or shredded before account closure.
• Outstanding balances must be paid in full.
• Once deleted, your data cannot be recovered. This includes scanned mail images, action request history, and account settings.
• Certain data (such as billing records and tax-related information) may be retained after account deletion for applicable retention periods - generally up to 7 years for tax-related records (per CRA and IRS guidelines) - and will then be securely deleted.
